How do special diets and allergens work? How long before my date do I need to order? What is included in the pricing? Here you’ll find answers to the most common questions!

  • Are the prices exclusive or inclusive of VAT?

    All our prices on westers.se are excluding VAT. VAT on food, non-alcoholic beverages, project management, transportation, etc., is normally 12%, while alcohol, for example, has a 25% VAT. 

  • Can you tailor a menu for my order?

    We can always look at producing a tailor-made special menu for your specific occasion, but we cannot always guarantee that it can be carried out. Ask the question and we will look at it and come up with a proposal!

  • How far in advance do I need to book catering or confirm my order?

    We need your booking and confirmation no later than five (5) working days before the delivery date. Are you running out of time? Ask the question and we’ll see what we can do!

  • How do you deal with allergens or special dietary requirements?

    We adapt as far as we can when it comes to special diets and then offer replacement options to those with allergies or special dietary restrictions, which are noted on delivery.

  • Can you taste a menu before ordering?

    Most of our menus can be sampled/tasted in whole or in part. A fee of SEK 1,500/2 persons is added for tastings.

  • In which geographic area can I order?

    We deliver within the entire Stockholm county as standard, but can also deliver catering or organize events outside of Stockholm if necessary.

  • What is the minimum number of guests you can order for?

    We apply a minimum of 10 of each dish ordered as standard. For some menus, a higher number is applied – for example Christmas menus. Feel free to ask us if you are unsure!

  • What terms and conditions apply?

    Cancellation of Catering
    Catering, including linens, tableware, furniture, and flowers canceled later than 5 working days before the event will be charged 100% of the quoted cost, excluding delivery charges. All changes must be made in writing to be valid. For any other costs related to services purchased from other suppliers, the respective supplier’s cancellation policies will apply.

    Cancellation & Changes to Staff
    Staff cancellations are always charged at 100% of the cost in accordance with the collective agreement between HRF and Visita.

    Orders
    Westers must be informed of the number of guests, chosen menu, and any deviations such as allergies/vegetarians no later than 10 working days before the event. This must be communicated in writing, including names. The final day for adjustments to the number of guests is 5 working days before the event, with a maximum change of +/-10%. Beyond this, adjustments will be subject to the seller’s discretion.

    Advance Payment for Venue
    Advance payment amounting to 100% of the venue rental fee must be made no later than 90 days before the event. This amount is non-refundable in case of cancellation.

    Advance Payment for Private Individuals
    Private individuals are invoiced in advance for the full order amount. This invoice must be paid no later than 10 days before the event date.

    Invoicing & Payment
    Invoices are sent to legal entities after the order is fulfilled, with a standard payment term of 10 days. Invoices are sent via email or e-invoice.

    For venue bookings, legal entities are invoiced in advance for 100% of the venue rental fee.
    Private individuals are invoiced in advance for the total amount of the order.

    Event Cancellations
    If the client cancels the event earlier than 30 working days before the event, they will be charged 50% of the estimated total cost.

    If the client cancels the event 30 working days or later before the event, they will be charged 100% of the estimated total cost.

    Payments made for advance venue rental are non-refundable. For costs related to purchased services such as external venues, artists, technology, décor, and activities, the respective supplier’s cancellation policies will apply.

    Rental Terms for Tableware/Service Equipment/Linens
    The renter is responsible for any loss or damage to rented items, including packaging, during the rental period. Replacement costs will be invoiced to the renter as soon as the cost is determined.

    Insolvency
    If the client becomes insolvent, suspends payments, or enters corporate restructuring, Westers has the right to cancel the booked event. Westers will then be entitled to compensation according to the provisions under “Event Cancellations,” as if the client had canceled the event.

    Force Majeure
    Both parties (Westers and the client) shall be released from obligations under the agreement if circumstances beyond their control occur. Examples include, but are not limited to, events such as war, natural disasters, strikes, or legal changes.

    Either party may terminate the agreement, in part or in whole, if such circumstances occur. Termination must be preceded by a written notice of cancellation stating the reason.

  • How much does transportation cost?

    The cost of transport varies depending on the day, size, content, time and geographical area. Therefore, this is calculated after the order has been completed. Do you want a rough estimate? Get in touch and we’ll arrange it!
