How do special diets and allergens work? How long before my date do I need to order? What is included in the pricing? Here you’ll find answers to the most common questions!

  • Are the prices exclusive or inclusive of VAT?

    All our prices on westers.se are excluding VAT. VAT on food, non-alcoholic beverages, project management, transportation, etc., is normally 12%, while alcohol, for example, has a 25% VAT. 

  • Can you tailor a menu for my order?

    We can always look at producing a tailor-made special menu for your specific occasion, but we cannot always guarantee that it can be carried out. Ask the question and we will look at it and come up with a proposal!

  • How far in advance do I need to book catering or confirm my order?

    We need your booking and confirmation no later than five (5) working days before the delivery date. Are you running out of time? Ask the question and we’ll see what we can do!

  • How do you deal with allergens or special dietary requirements?

    We adapt as far as we can when it comes to special diets and then offer replacement options to those with allergies or special dietary restrictions, which are noted on delivery.

  • Invoicing & Payment

    Invoicing takes place after completed order with 10 day payment terms as standard. The invoice is sent via e-mail or as an e-invoice.

    For private individuals, we apply advance payment of the total amount.

    When booking a venue, we apply advance billing corresponding to 50% of the amount for the venue rent.

  • Can you taste a menu before ordering?

    Most of our menus can be sampled/tasted in whole or in part. A fee of SEK 1,500/2 persons is added for tastings.

  • In which geographic area can I order?

    We deliver within the entire Stockholm county as standard, but can also deliver catering or organize events outside of Stockholm if necessary.

  • What is the minimum number of guests you can order for?

    We apply a minimum of 10 of each dish ordered as standard. For some menus, a higher number is applied – for example Christmas menus. Feel free to ask us if you are unsure!

  • What terms and conditions apply?

    Cancellation of catering
    Catering, including linen, decor, furniture and flowers that are canceled later than 5 working days are charged with 100% of the quoted cost excluding delivery costs. All changes are made in writing. For any other costs regarding purchased services from other suppliers, the respective supplier’s cancellation rules apply.

    Cancellation & Change of staff

    Staff who cancel are always charged 100% of the cost with reference to the collective agreement between HRF and Visita.

    Ordering
    No later than 10 working days before the event, Westers must be notified of the number of guests, selected menu and any deviations such as allergy sufferers/vegetarians. This must be done in writing with their names. No later than 5 working days before the event is the last day for possible changes to the number of guests +/-10%! An assessment is then made by the seller as to whether the change is possible.

    Advance payment venues
    Advance payment corresponding to 50% of the premises rent for the premises on the relevant date must be paid in advance. This sum is not refunded in the event of cancellation.

    Advance payment private individuals
    For private individuals, we invoice the entire amount for the order in advance. This must be paid before the event date.

    Payment terms
    Invoicing takes place after the order with payment terms of 10 days.

    Cancellation of events

    • If the client cancels the arrangement after booking, the client will be charged 25% of the budgeted total cost.
    • If the client cancels the event later than 30 working days before the event, the client will be charged 50% of the budgeted total cost.
    • If the client cancels the event later than 10 working days before the event, the client will be charged 100% of the budgeted total cost.
    • Payment of paid advance payment for the premises is not refunded. For costs related to purchased services such as artists, technology, decor and activities, the respective supplier’s cancellation rules apply.

    Rental conditions/Payment conditions crockery/serving equipment/linen:
    The lessee is responsible for all possible losses and damage to the rental property, including packaging, during the rental period. The replacement value may be invoiced afterwards if the order has already been invoiced.

  • How much does transportation cost?

    The cost of transport varies depending on the day, size, content, time and geographical area. Therefore, this is calculated after the order has been completed. Do you want a rough estimate? Get in touch and we’ll arrange it!
